If you are creating invoices in an activity of quick sales where you do not need the customer's name and address, enter some standard phrase such as 'External Sales'. If you get regular customers you can click LIST and be able to add a name and address to be reused. Double clicking one from the list will automatically fill in the details for you. The MANUAL button clears the details if you prefer manual entry. GLOBAL DETAILSThese are the details that already contain data each time you create a new invoice. INVOICE DATE - normally today, but can be edited to any other date. Be very careful of changing the date and never back-date into a previously closed tax period. The facility to change the date is only really for situations where you do not have time to create invoices on the same day as the sales so must backdate them the next day so customers see the correct date. INVOICE TYPE - you can choose 'items' or 'services'. The difference is that 'items' include a Quantity whereas 'services' do not. When you change type the Quantity column and entry box disappears. Also, if you have already added items they will be deleted as the two types do not work the same and cannot just be converted. TAX PERCENT - Once you have this correct in the Settings, you don't normally need to change it, but occasionally you might sell items that have a special tax rate, so you can change it for one invoice. Be careful though, if you choose to create the next invoice automatically with a different customer but the same items, the tax rate will stay at the special value, so after changing it always ensure the next invoice has the correct tax value. ADD ITEMSClicking 'add' will not work if you do not enter something into the 'description' box. The item total will be automatically calculated by multiplying the Quantity by the Item Price you have entered. For items you sell often, you can set these up using the LIST button and choose them automatically by double-clicking the list. (continued) |
